Simultaneous Interpretation Equipment: Costs and the Smartphone Alternative

Simultaneous interpretation requires a full equipment stack: a booth, a transmitter, receivers, a mixer, and a sound engineer to run it. Published rental price lists put a single receiver at a few hundred yen, but once you add the booth, transmitter, and setup labor, a one-day event can run into the tens of thousands to low hundreds of thousands of yen.

For smaller in-person events, a "BYOD" approach — where attendees use their own phones as the receiver — can remove the need to source, distribute, and collect physical receivers at all. Below is a breakdown of the equipment, real rental costs, and how BYOD compares.

What equipment does simultaneous interpretation need?

In simultaneous interpretation, an interpreter listens to the speaker and translates in real time, and attendees hear the translation through a receiver. Making that work requires several pieces of equipment.

These costs sit on top of the interpreter's own fee and are typically quoted separately by an AV rental vendor.

How much does equipment rental actually cost?

Two Japanese AV rental vendors publish per-item day rates. As of July 2026, the ranges look like this:

A rough total: for a 30-person event, adding up a booth, transmitter, interpreter console, 30 receivers, a mixer, a sound engineer, and setup/teardown comes to roughly ¥180,000–260,000 for a single day, based purely on the published list prices above. Travel — and lodging, if the vendor is coming from out of town — is billed separately.

The hidden work of handing out receivers

Cost isn't the only overhead. Someone has to hand out one receiver per attendee at check-in and collect them all again afterward. If the count doesn't add up, it's treated as a loss — and some vendors explicitly bill lost receivers and earphones back to the organizer[2]. Even at a modest scale, that distribution and collection process is real staff time.

BYOD: turning attendees' phones into receivers

A growing alternative skips physical receivers entirely. Attendees scan a QR code, open a page in their own phone's browser, and receive translated audio or captions directly — no receiver hardware to hand out. The venue side only needs a way to capture and send out the speaker's audio.

This removes the purchasing, distribution, collection, and loss-tracking that come with physical receivers. The tradeoff is that attendees are relying on their own phone and their own earphones, so the venue's Wi-Fi or attendees' mobile data becomes part of the equation. VoxFlight: an option for small events

For two target languages, the complete two-language pass is purchased once in the App Store for the same duration and attendee limit. It is not an add-on after buying a one-language pass, and the total is shown before purchase.

VoxFlight isn't a fit for every setting, though. It's not built for medical or legal interpretation, large conferences that staff a dedicated interpreter team, or panel discussions where multiple people talk at once. For those, a human interpretation setup is the right call regardless of the equipment budget.
